1. Information We Collect

When you register as a member, we collect your name, email address, phone number, cohort, university, and any optional profile details you choose to provide. When you apply for a leadership position or vote in an election, we additionally record candidacy materials, voter registration status, and anonymised vote records. Platform usage is logged for security and audit purposes.

2. How We Use Your Information

Your information is used to verify membership eligibility, administer elections, publish leadership and governance records, communicate association updates, and protect the platform against fraud (for example, detecting duplicate signups).

3. Vote Confidentiality

Your individual vote is never linked to your identity in any report, export, or public result. Only aggregate tallies are published.

4. Data Retention

Membership and election records are retained for the lifetime of your membership and for as long as required to preserve the historical integrity of past elections. Activity logs are retained for security audit purposes.

5. Your Rights

Under the Kenya Data Protection Act, 2019, you have the right to access, correct, or request deletion of your personal data, subject to our obligation to preserve the integrity of election records. To exercise these rights, contact the association through your dashboard or via an IT Admin.

6. Contact

For data deletion or access requests, signed-in members can submit a request from their dashboard. Prospective members may contact the association through official MFA Alumni Association channels.
